1. Clean Up Your Cash Flow

I always recommend:

  • Billing on a routine (e.g., weekly or biweekly—never wait until month-end)
  • Tracking income and expenses weekly
  • Setting a recurring 30-minute “money date” to review what came in, what went out, and what’s left

In one client example, we discovered $300,000 in unbilled receivables. By establishing a billing cycle and documenting the process, we stabilized cash flow and saved hours of rework—especially when a key team member left suddenly.

2: Automate and Delegate the Admin

If a task doesn’t directly bring in revenue—delegate or automate it.

  • Text-based reminders for better engagement

If you do something more than once—write it down or record it.

Start with:

  • Late payment follow-up
  • Invoicing in QuickBooks

Quick SOP Hack:

  • Record a 5-minute Loom video of you doing the task
  • Upload to ChatGPT or an AI tool to create a written SOP
  • Store both the video and SOP for easy onboarding

Bonus: This protects your business when someone takes leave, quits, or goes on vacation.

4: Know Your Numbers

Even if you hate bookkeeping, you need to know:

  • What came in
  • What went out
  • What’s left

This builds confidence and clarity in your financial decisions—and helps remove emotional guesswork.

5: Simplify Sales and Client Intake

Clunky intake = lost revenue and wasted time.

What to add to your intake form:

  • “What do you need help with today?”
  • “Tell us about your business” (industry, goals, stage)
  • “Are you ready to start in the next 30 days?”

Why it matters:

  • Helps you or your team qualify leads faster
  • Avoids chasing cold prospects
  • Reduces founder time spent on discovery calls

Even trade industries like landscaping and plumbing can streamline intake. Just document the process and use it across the team.

Block 90 minutes a month for a CEO session. Treat it like a client meeting.

Agenda:

  • Review your numbers
  • Ask: What’s working? What’s not?
  • Identify bottlenecks
  • Pick one task to automate, delegate, or eliminate
  • Reflect on how you’re using your time

Block 90 minutes for you—walk, journal, reset your mindset. A calm CEO makes better business decisions.
